Taking a seat in the cockpit: Why even the best co-pilot cannot (yet) replace the captain

A reality check: Why the dream of fully automated flight is bursting and human responsibility is becoming more important than ever before.

It's a question that needs to be asked: Autopilots have been used in modern aviation for decades. These systems are highly precise. They can maintain altitude, navigate, and now even land fully automatically. And yet: The next time you board an Airbus, there will still be two people sitting up front. Why is that? The answer is crucial for our understanding of artificial intelligence in business: The autopilot handles the routine tasks, but the human pilot bears the responsibility for the unpredictable.

When an engine fails or an ethical decision needs to be made that isn't in the manual, the computer is overwhelmed. It can calculate, but it can't judge. This is precisely where we stand today with Microsoft 365 Copilot. Anyone who looks beyond the hype at the hard facts quickly realizes: the dream of "fully automated corporate flight" is just that: a dream.

The name says it all (and is reality): Copilot, not Autopilot

Microsoft has named this tool precisely. Copilot isn't a machine that takes over the controls. It's the highly intelligent officer in the seat next to you.

In the C-suite, there's often an illusion: buy a license, push a button, sit back. The technical reality is different: the copilot takes some of the burden off your shoulders, gathering information and calculating options in seconds. However, it doesn't make the decision itself, and you remain fully responsible for the results.

 

The technical pre-flight check: Is your hangar ready?

Before we even talk about flying, we need to take a look in the hangar. The facts make it clear: This high-performance engine isn't suitable for every aircraft.

There are strict technical requirements for Microsoft 365 Copilot to even start. These include specific base licenses (e.g., Microsoft 365 E3/E5 or Business Standard/Premium), mandatory Entra ID accounts, and seamless integration of OneDrive and SharePoint.

Many companies are eager to take off immediately, but haven't yet made their infrastructure "copilot-ready." A jet doesn't take off from a gravel runway. This basic technical check is the first step, and we at redIT can help with that.

 

The internal radar: Why your data is the flight zone

You might be asking yourself: "Why should I pay for Microsoft 365 Copilot when ChatGPT and similar services are available for free?"

To use aviation terminology: It's the difference between a pilot who can fly generally and one who knows your aircraft, your route, and your passengers exactly.

  • Public LLMs (ChatGPT etc.): These people are essentially flying by sight. They possess enormous general knowledge, but they're flying blind to your company's context. Specifically, this means copying text, attempting to anonymize data, and uploading documents. This is not only tedious but also carries the risk of data loss.
  • Microsoft 365 Copilot (in your tenant): The major advantage is that AI functions are directly integrated with data from the Microsoft Graph within your applications. Contextual information such as documents, emails, or contacts can be added with a single click – often supported by relevant suggestions from Context IQ. This eliminates the need to manually move content.

The most important aspect here is the security of your flight zone. Your data—that is, prompts, responses, and the retrieved company data—never leaves your trusted environment (tenant boundary). Unlike many public tools, your data is not used, according to regulations, to train AI models for others. Your know-how therefore remains securely locked within your cockpit.

 

Dangerous goods on board: The risk of "wild" free tools

But what happens if employees leave the secured flight zone out of ignorance or convenience?

The greatest risk currently lies not in AI itself, but in the improper use of free, public models on the web. If an employee copies confidential customer data or strategy documents into a public chat window to have them "quickly summarized," this data leaves your controlled environment, often permanently. Employees often struggle to correctly assess these risks in their daily work.

Microsoft provides the answer for enterprise customers. Conceptually, the biggest risks are manageable. It's a comprehensive, worry-free package for the security of your data:

  • Sensitivity Labels: Automatically classifies documents as, for example, "Strictly Confidential," so that they cannot leave the company.
  • DLP (Data Loss Prevention): It technically prevents sensitive data from being inserted into unauthorized web tools.
  • Microsoft Defender & Intune: Protect the devices and identities from which access is made.

With a copilot in the protected tenant and these safety mechanisms, you create a hermetically sealed pressurized cabin instead of flying with open windows.

 

The pitfalls of probability and the duties of the captain

But even in the safest environment, one technical reality remains: Generative AI is probabilistic, not deterministic.

A calculator always gives the same result. Copilot, on the other hand, "rolls the dice" slightly with each answer to find the next suitable word. This is brilliant for creativity, but a risk for facts. The AI ​​can make mistakes, so-called "hallucinations."

This results in a mandatory obligation for you as Captain: Human-in-the-Loop is not a recommendation, it is a condition of operation. Only you can validate the AI's suggestions. Anyone who sends emails or accepts balance sheets without checking them is acting negligently. Responsibility for the outcome therefore remains with the human.

 

Data Governance: When the radar sends interference signals

Another reason why the captain is indispensable lies in the responsibility for the instruments. Microsoft 365 Copilot ruthlessly exposes just how chaotic our data storage systems are in companies.

Imagine your radar is full of interference. If you have five different versions of Budget_2024_final.xlsx Which one should he use? (Garbage In, Garbage Out).

Even more critical is the issue of permissions: Microsoft 365 Copilot respects existing access rights. If the executive payroll is accidentally shared with "All Employees," it will find it if an intern requests it. Not out of malice, but because it has access. A safe flight, therefore, begins with clean data governance. AI can't clean that up for you. That's a job for the captain.

Conclusion: Flight hours instead of just buying a ticket

The analysis of the facts clearly shows: Purchasing the license is just the beginning. If you present your employees with AI without training and strategy, the expensive jet will either remain in the hangar or be operated incorrectly.
