Microsoft Teams has received some exciting new features for everyday work in June as well 👇

Microsoft Teams is constantly evolving – and brings new features every month to make your workday easier. 🚀 To help you stay on top of things, we've summarized the most important new features for May. This time, we're focusing on more efficient meetings, better overviews in chats, and exciting support from Microsoft Copilot. 💡

1. More control over the meeting layout

You decide what's in focus: the shared content and the video gallery can now be flexibly scaled. Simply move the separator bar – for the perfect view depending on the situation.

 

2. Clean up the display bar: less is more

Less distraction, more focus: In the simplified app bar, labels are hidden by default. This leaves more space for what matters most.

 

3. Notes can now also be taken in spontaneous meetings.

You can now also take notes directly during "Meet now" meetings. Ideal for neatly documenting spontaneous meetings.

4. Faster overview in chats

Filter your Teams chats by @mentions, followed threads, and more by selecting Quick Views at the top of your chat list. To customize, hover over a category and select more quick view options .

5. Accurate transcripts for meetings with sign language interpreters

Teams now correctly identifies who has spoken, even when interpreting via sign language. Contributions are therefore attributed to the actual person, not the interpreter.

 

6. Automatic speech recognition

The spoken language of each speaker is now automatically detected, and Teams updates it in real time as the conversation evolves. Manual language selection is no longer available.

👥 1. Rethinking the organizational chart

1. Forward multiple messages simultaneously

In Microsoft Teams chats and channels, up to five messages can now be forwarded simultaneously. This saves time when multiple pieces of information need to be shared with another person or team, and it allows those not directly involved to better follow the chat history.

To do this, simply hover your mouse over a message and click on "More options" " and choose "Forward " on the arrow and "Multiple answers"You can then select multiple messages, add the desired recipients, and send everything together.

2. Grid view for file search 🔎

For faster file retrieval, results can now also be viewed in a grid view. This display shows files more clearly and visually with a preview, allowing you to quickly identify which documents are involved.

3. Secure collaboration using trust indicators

When collaborating with external individuals, Microsoft Teams helps with so-called Trust Indicators . 🔐

These are visual indicators displayed next to external contacts. They show at a glance what relationship this person has to your organization, for example, whether they are a guest or an external partner.
This makes it easier to keep track and to share sensitive information more consciously.

4. Copilot support in Teams meetings with a Microsoft M365 Copilot license*

The AI ​​assistant Microsoft Copilot now also provides direct support in Teams meetings.

Copilot can, among other things:

• Analyze chat histories

• Evaluating meeting transcripts

• Include calendar information

Based on this information, Copilot automatically generates summaries, rephrases messages, and highlights key insights and open questions. This helps to follow up on meetings more quickly and ensures that no important information is missed.

5. Key screen moments directly in the summary with a Microsoft M365 Copilot license*

Last month, Microsoft released customizable meeting summary templates. Here's a quick recap: Microsoft Teams can create meeting summaries exactly how you want them. You can either use a pre-installed summary template or create your own template tailored to your specific needs. This makes it easier to keep track of the key points from the meeting. You can find your custom summary in the meeting chat under "Summary."

This month, meeting summaries will be even simpler and clearer. Key moments from the meeting—such as screen shares or presentations —will be displayed directly next to the corresponding sections of the summary. This allows you to instantly see what content was shown on the screen during the discussion, without having to rewatch the entire meeting.

6. Flexible customization of the meeting layout

During a meeting, you can adjust participant and content views more flexibly. The participant gallery can be resized and reshaped, allowing you to create more space for presentations or screen sharing, for example. This allows you to optimally tailor the meeting layout to the specific content.

7. Note regarding weak internet connection in meetings

If your internet connection becomes unstable during a meeting, Teams will now automatically notify you. You'll also receive specific suggestions for improving your connection, such as turning off your camera to save bandwidth. This allows you to react quickly and stabilize the meeting quality.

1. Customize summaries with Microsoft M365 Copilot license*

Microsoft Teams can now create meeting summaries tailored to your needs. You can either use a pre-installed summary template or create your own template to perfectly match your requirements. This makes it easier to keep track of key points from the meeting. You'll find your custom summary in the meeting chat under "Summary".

2. Easier access to channel files – Shared tab

The previous "Files" tab in channels has now been renamed "Shared".

Here you'll find all the files and links shared in the channel – handy for quick searches and to make sure you don't miss anything important. 😊

3. Preview messages in notifications

👀 Teams now shows a preview of the message directly in the notifications when you:

• be mentioned in a channel

• someone responds to your message, or

• Receive a general channel notification.

This way you can immediately see what it's about without having to open Teams separately.

4. Keep an eye on Microsoft Teams at all times

You can now open your Teams window Attach to the top. This ensures that it always remains open as the topmost window, even when other programs are opened, and is not covered up.
Here's how to pin Microsoft Teams 📌:

1. Click “Settings and more” .

2. Select Window > Pin to Top.

Practical if you are constantly working in chat or meetings and don't want to miss anything.

1. Multitasking with pop-out windows

Open key Teams features in separate windows to seamlessly switch between your Teams chat, calendar, planner, and other activities. To do this, simply right-click an icon on the left side of Teams and select "Open in new window".

You can also open pop-out windows for individual chats (1), channels (2), or apps and pages within the channels (3).

2. Increased security when joining private groups via code

🔒 Joining private groups via code now requires direct approval from a team owner, just like joining via link. This ensures greater security and prevents unauthorized access to private groups.

3. Automatic speech recognition in the interpreter 🗣

Remove language barriers in multilingual Microsoft Teams meetings with the Interpreter. The Interpreter acts as an interpreter, enabling real-time translation of spoken language, subtitles, and transcripts. The Interpreter currently supports English, Spanish, Portuguese, Japanese, Simplified Chinese (Mandarin), Italian, German, French, and Korean in meetings with up to 1,000 participants. Speech simulation is also available. Participants hear the translated language in your voice, making it sound as if you are speaking the language yourself.

Meeting recordings and transcripts are only available in the translated language during the meeting. After the meeting has ended, they are only available in the original language.

4. More Microsoft 365 Copilot features in Teams with Microsoft M365 Copilot License*

Use Copilot in Microsoft Teams to create messages and gain important insights and summaries from chat and channel histories and calendar content. For intelligent support in Teams, you need a Microsoft 365 Copilot license. We explain what else you can do with this license on our offer page.

5. More context for forwarded messages

In Microsoft Teams, you can forward messages from chats or channels. To do this, hover over the desired message and click on "Further options  and on "Forward". A window will appear where you can enter the desired recipient. You can forward messages to people, groups, or tags. This feature has been around for a while. But what's new?

The recipient of the forwarded message can now click on the timestamp and be taken directly to the original chat or channel. This allows them to view previous messages or comments and gain more context. If a recipient does not have access to the respective chat or channel, a message will appear indicating the lack of access.

6. Find settings directly via search.

🔍 Want to change a specific setting? Instead of searching through the settings for the desired setting, you can now simply enter a keyword in the search bar. Terms like "notifications" or "dark mode" will take you directly to the option you need.

7. Organizing and collaborating in chats and channels

Microsoft is introducing new features for more structured and simpler collaboration with the January update. The following three new features will help:

• Add existing Loop components and pages to channels to create structured and contextual workspaces.
• Create notes in individual and group chats that are only visible to chat members to centrally organize information. Add images or mention members with @ to get their attention. These and other features help make collaboration easier via Microsoft Teams.

• Add emojis to your chats and channels to quickly identify the desired option at a glance. To do this, select the section icon and click on ""Change symbol".

8. Extensions for the Moderator Agent with Microsoft M365 Copilot license*

The Facilitator Agent works as a moderator in Teams meetings to facilitate more effective collaboration. This is a Copilot Agent, available exclusively with the Microsoft 365 Copilot license. We explain what else you can do with this license on our offer page.

What new features does it offer:

• The facilitator agent recognizes agendas shared in chats and creates a live progress tracker based on them, ensuring the meeting runs according to schedule.
• If someone has been invited to a meeting but has not yet joined, and their name is mentioned twice in the conversation, the facilitator politely reminds that person in the chat to attend.

9. Insights with presentation analytics for town halls with Microsoft Premium Teams*

Review data on video quality, audio intelligibility, and connection stability of a town hall to ensure smooth content transmission during events.

10. The most immersive virtual event experience to date

11. Set Teams Mobile as the default telephony app

Stop switching between apps to make Teams calls. Set Teams as your default calling app so all calls are automatically routed through Teams Mobile.

12. Stay protected with detection of harmful files and URLs

Teams now actively protects against potentially harmful links by automatically detecting and reporting malicious files and URLs shared in Teams chats and channels.

If a link is mistakenly identified as a potential threat, you can report it to help improve Teams' detection accuracy.

13. Quick access to important actions via the Jump List

Open the Teams jump list in the Windows taskbar or Mac menu bar to start a chat, view meetings, join existing ones, or schedule new ones. Simply right-click the Teams icon in the taskbar and select the desired option.

Get an instant overview without having to open a file. With a Copilot license You can now view automatically generated summaries of shared files directly in the chat.

💬 Adding emojis to chats and posts has never been easier!
With the new keyboard shortcut, you can now insert emojis in a flash: Simply type “:”, then the name of the emoji, and finish with “:” again.

This is how you can make your messages more personal and expressive – without having to go through the emoji menu.

3. Listen to meeting summaries as audio

🎧 No screen needed: Have your meetings read aloud to you as a podcast-like audio summary!

🔒 4. Confidential meetings with “Prevent Screen Capture”

Sensitive information should remain confidential – and this is now even easier.
With the new "Prevent Screen Capture" feature, screenshots can no longer be taken in certain meetings. If someone attempts to capture the screen, the window automatically turns black. This security feature is part of the Teams Premium license.

️ 5. Countdown timer for focused meetings

Never lose track of time again: With the new meeting countdown timer, all participants can see how much time is left in the meeting. The timer can be started, paused, or extended – ensuring every meeting stays on schedule.

Teams now displays your microphone's audio level live. This lets you see at a glance whether you're clearly heard—and adjust the volume if necessary. A small but extremely useful detail for professional audio quality.

🎥 7. Ultra-low latency at Town Halls

There's a special upgrade for large online events: Ultra-Low Latency in Teams Town Halls ensures that content, speakers, and reactions are transmitted in near real time. This feature is also included in Teams Premium.

️ 8. New organizer controls directly in the meeting toolbar

Organizers can now quickly access important options—such as lobby settings and camera or microphone permissions for participants—via the control menu in the meeting toolbar. Clicking "More Options" displays the full list of customization options.

🔐 9. More data protection for subtitles and transcriptions

To protect confidential information, Live Captions and RTT (Real-Time Text) now only show the last five minutes of the call when transcription is disabled. We also fixed a bug that could previously cause data loss when changing the position of subtitles.

💬 10. Private chats for webinar organizers

Webinar organizers, co-organizers, and presenters can now chat privately with each other before, during, and after the webinar. This facilitates coordination and preparation without participants noticing.
