Microsoft Teams is constantly evolving – and brings new features every month to make your workday easier. 🚀 To help you stay on top of things, we've summarized the most important new features for May. This time, we're focusing on more efficient meetings, better overviews in chats, and exciting support from Microsoft Copilot. 💡

 

1. More control over the meeting layout

You decide what's in focus: the shared content and the video gallery can now be flexibly scaled. Simply move the separator bar – for the perfect view depending on the situation.

Less distraction, more focus: In the simplified app bar, labels are hidden by default. This leaves more space for what matters most.

5. Accurate transcripts for meetings with sign language interpreters

Teams now correctly identifies who has spoken, even when interpreting via sign language. Contributions are therefore attributed to the actual person, not the interpreter.

 

6. Automatic speech recognition

The spoken language of each speaker is now automatically detected, and Teams updates it in real time as the conversation evolves. Manual language selection is no longer available.

1. Forward multiple messages simultaneously

In Microsoft Teams chats and channels, up to five messages can now be forwarded simultaneously. This saves time when multiple pieces of information need to be shared with another person or team, and it allows those not directly involved to better follow the chat history.

4. Copilot support in Teams meetings with a Microsoft M365 Copilot license*

The AI ​​assistant Microsoft Copilot now also provides direct support in Teams meetings.

Copilot can, among other things:

5. Key screen moments directly in the summary with a Microsoft M365 Copilot license*

Last month, Microsoft released customizable meeting summary templates. Here's a quick recap: Microsoft Teams can create meeting summaries exactly how you want them. You can either use a pre-installed summary template or create your own template tailored to your specific needs. This makes it easier to keep track of the key points from the meeting. You can find your custom summary in the meeting chat under "Summary."

This month, meeting summaries will be even simpler and clearer. Key moments from the meeting – such as… Screen sharing or presentations – are displayed directly next to the relevant sections of the summary. This allows you to immediately see what content was shown on the screen during the discussion, without having to rewatch the entire meeting.

6. Flexible customization of the meeting layout

During a meeting, you can adjust participant and content views more flexibly. The participant gallery can be resized and reshaped, allowing you to create more space for presentations or screen sharing, for example. This allows you to optimally tailor the meeting layout to the specific content.

 

7. Note regarding weak internet connection in meetings

If your internet connection becomes unstable during a meeting, Teams will now automatically notify you. You'll also receive specific suggestions for improving your connection, such as turning off your camera to save bandwidth. This allows you to react quickly and stabilize the meeting quality.

1. Customize summaries with a Microsoft M365 Copilot license*

Microsoft Teams can now create meeting summaries tailored to your needs. You can either use a pre-installed summary template or create your own template to perfectly match your requirements. This makes it easier to keep track of key points from the meeting. You'll find your custom summary in the meeting chat under "Summary".

2. Easier access to channel files – Shared tab

The previous tab "Files" in canals has now become "Released" renamed.

Here you will find all files and links, which have been shared in the channel – handy for quick searches and to make sure you don't miss anything important. 😊

 

3. Preview messages in notifications

👀 Teams now shows directly in the Notifications A preview of the message will appear if you:

  • be mentioned in a channel

  • someone responds to your message, or

  • Receive a general channel notification.

This way you can immediately see what it's about without having to open Teams separately.

 

4. Keep an eye on Microsoft Teams at all times

You can now open your Teams window Attach to the top. This ensures that it always remains open as the topmost window, even when other programs are opened, and is not covered up.

1. Multitasking with pop-out windows

2. Increased security when joining private groups via code

🔒 Joining private groups via code now requires direct approval from a team owner, just like joining via link. This ensures greater security and prevents unauthorized access to private groups.

3. Automatic speech recognition in the interpreter 🗣

Remove language barriers in multilingual Microsoft Teams meetings with the Interpreter. The Interpreter acts as an interpreter, enabling real-time translation of spoken language, subtitles, and transcripts. The Interpreter currently supports English, Spanish, Portuguese, Japanese, Simplified Chinese (Mandarin), Italian, German, French, and Korean in meetings with up to 1,000 participants. Speech simulation is also available. Participants hear the translated language in your voice, making it sound as if you are speaking the language yourself.

Meeting recordings and transcripts are only available in the translated language during the meeting. After the meeting has ended, they are only available in the original language.

5. More context for forwarded messages

In Microsoft Teams, you can forward messages from chats or channels. To do this, hover over the desired message and click on "Further options More options and on "Forward". A window will appear where you can enter the desired recipient. You can forward messages to people, groups, or tags. This feature has been around for a while. But what's new?

The recipient of the forwarded message can now click on the timestamp and be taken directly to the original chat or channel. This allows them to view previous messages or comments and gain more context. If a recipient does not have access to the respective chat or channel, a message will appear indicating the lack of access.

 

6. Find settings directly via search.

🔍 Want to change a specific setting? Instead of searching through the settings for the desired setting, you can now simply enter a keyword in the search bar. Terms like "notifications" or "dark mode" will take you directly to the option you need.

 

7. Organizing and collaborating in chats and channels

Microsoft is introducing new features for more structured and simpler collaboration with the January update. The following three new features will help:

  • Add existing Loop components and pages to channels to create structured and contextual workspaces.
  • Create notes in individual and group chats that are only visible to chat members to centrally organize information. Add images or mention members with @ to get their attention. These and other features help make collaboration easier via Microsoft Teams.

8. Extensions for the Moderator Agent with Microsoft M365 Copilot license*

What new features does it offer:

  • The facilitator agent recognizes agendas shared in chats and creates a live progress tracker based on them, ensuring the meeting runs according to schedule.
  • If someone has been invited to a meeting but has not yet joined, and their name is mentioned twice in the conversation, the facilitator politely reminds that person in the chat to attend.

13. Quick access to important actions via the Jump List

To protect confidential information, Live Captions and RTT (Real-Time Text) now only show the last five minutes of the call when transcription is disabled. We also fixed a bug that could previously cause data loss when changing the position of subtitles.

*A town hall meeting in Microsoft Teams is a special live event format designed for large, one-to-many events where a limited number of speakers address a large audience. Unlike regular Teams meetings, where participants can actively interact, participants' cameras and microphones are disabled by default in town halls.

Thanks to Cloud Video Interop (CVI), presenters can now participate in town halls even with devices that aren't Teams-certified. Organizers simply provide the CVI link, and presenters can join as participants and then be "promoted."

1. Chats and channels in one place

Keep track of: The new user interface with chats and channels brings everything you need together in one place. Chats, messages, and posts are displayed together, providing a quick overview. The workspace can be individually organized (via drag and drop) and customized – exactly as you need it.

1. Pick up where you left off in OneDrive

Switch directly back to your last viewed location in OneDrive after navigating across different apps in Teams. This transition saves time by maintaining your context and allowing you to quickly access files you've recently viewed.

 

2. OneDrive in Teams

OneDrive in Teams stores all your files in one location. On the left side of Teams, select OneDrive  to access the required files.

  • my data lists all files and folders from your personal OneDrive.
  • Approved shows all files and folders that have been shared with you.

3. Quickly find lists in Microsoft Teams chat

In Microsoft Teams, links to lists, individual list items, and list forms automatically expand. This allows you to see additional information such as the title and location directly in chat messages and in the "Shared" section of the chat. This makes it easier to identify, find, and access important content.

4. Forward messages with app cards

Reshare messages that contain app cards by hovering over the message and More options More options > Hand off Forwarding in Microsoft Teams .

App cards in Microsoft Teams are small preview windows or visual representations that appear when content from certain apps (like Planner, SharePoint, Lists, OneNote, etc.) is shared in a chat, channel, or post.

 

5. Mention in the activity feed

In your Teams activity feed, apply the filter @Mentions to see where you have been mentioned. Use the filter Tag mentions, all mentions of the tags assigned to you will be displayed. Multiple people can be assigned to a tag.

6. More space to store files in chat

Sharing local files in chat is easier than ever thanks to the expanded file storage area. You can easily drag and drop files up to 250MB into a chat and send them.

 

7. Edit your display name in meetings

One meeting as "Sie" and the next as "Du"? Customize your display name during a Teams meeting to be addressed directly the way you want. Join the meeting and select the People button in your meeting controls. Persons.

8. Smart recap notifications after calls and meetings with Microsoft Teams Premium*

Intelligent recap notifications are now available after calls from chats and instant meetings. A notification appears in the activity feed after the call ends. Select the notification to open the summary. Using AI, important information such as mentions, screen shares, and join and leave markers are highlighted and listed in the meeting recording. 9. Consistent voice when moderating Q&A

Present a unified voice when moderating Q&A sessions by posting and responding as the organizer. Posting as the organizer will hide your name from attendees.

Enable moderation to review and approve questions before they appear in the Q&A feed. Allow private replies so moderators can respond to unpublished questions. Private replies are visible only to moderators and the participant who asked the question.

How to activate it:

  1. Select Q&A  in the meeting controls
  2. In the button Q&A choose Q&A Settings
  3. Activate that Check box «Moderate questions»
  • Select the Allow private replies to unpublished questions checkbox to allow moderators to respond privately to questions currently under review. Participants can view their questions and respond to private replies in their "My Questions" feed. Private replies will be deleted when the question is published.
