Good teamwork is crucial for successful work. Microsoft Teams offers the ideal solution for this. With Teams, you can communicate with each other effortlessly - be it by phone, chat or conference - share files, organize projects and work on them in real time. Microsoft is constantly working on optimizing Teams and integrating new functions. We provide you with regular updates on the latest features. Have you missed something? February 2025
1. New Microsoft Teams calendar: More overview, better planning
The calendar in Microsoft Teams has been improved and now offers more intuitive operation and new functions. The design is reminiscent of the classic Outlook calendar, making it particularly easy to use.
New: an optimized calendar view and the ability to add and view additional calendars more quickly.

2. Insert links faster – with just two clicks
Save time even on small things! Microsoft makes it easier to add links to Teams messages. Simply highlight the text you want to link and paste the copied link with Ctrl + V Done – the link is stored!
3. Breakout rooms: let participants decide
Give participants in meetings with breakout rooms the freedom to decide which breakout room they want to join. To do this, you must either beforehand or during the meeting activate.
We'll show you how to create group rooms and set the appropriate settings.
Before the meeting:
- Open Microsoft Teams and go to the calendar
- Create or select an upcoming meeting and open the additional options
- Select the tab «Breakout rooms» or also called «Rooms»:
- Then select Settings at the top right
and activate the option “Allow people to choose their own rooms” and then save.
During the meeting:
- Join the desired meeting
- Select the “Rooms” menu in the top bar

4. Fewer limits on content forwarding
Loop components, app cards, and posts can now be easily shared between teams and channels. To do so, hover over the desired content, click More options and select Forward

5. More protection against unwanted copying in meetings with Microsoft Teams Premium*
Now there is even better data protection: Live subtitles, transcripts and meeting summaries can no longer be easily copied and shared. Go to the meeting settings and activate the corresponding option. If this is activated, the following actions are blocked for the content mentioned:
- Right-click & Copy
- Ctrl + C
- Forward and Share
- Copy link
6. Screen sharing with sound in mesh events with Microsoft Teams Premium*

1. Improved interaction during screen sharing in Microsoft Teams Web

1. Minimized presentation window
Now, when you share your screen during meetings, the presentation window will appear smaller. This lets you see the shared content as it appears to other participants, better detect raised hands, and adjust microphone and camera settings more easily.
You can flexibly adjust the view of your presentation window in the upper taskbar: Show fewer participants, only show the active speaker or minimize the window completely. You can find further customization options in presentation mode in the overview from Microsoft.
2. Getting started with Microsoft Places*
Microsoft Places is the new platform for connected workplaces that makes modern working more efficient and flexible. It helps you seamlessly master the transition between on-site, hybrid and remote work. With intelligent functions, you can optimally plan your work week and work location, modernize your office with smart technologies and improve space management using occupancy and usage data.
The basis for the introduction of Microsoft Places is a structured overview of buildings, floors, rooms and workplaces. The core functions are already available with standard subscriptions, while Microsoft Teams Premium and Microsoft 365 Copilot offer additional features.
Suggested office days: Microsoft Places helps you find the best days to work on-site based on your scheduled meetings, the attendance of your coworkers, and company policies. With an extended Microsoft Teams license, you can even get recommendations on when it's most worthwhile to come into the office. This way, you can make valuable personal contacts while working efficiently.
Intelligent meeting coordination: Thanks to intelligent booking functions, you can quickly find rooms equipped with the right technology for your meeting needs - whether for hybrid meetings or purely on-site.
Automatic workplace recognition: Connect your device at work and your presence will automatically be set to "on site". This way, your colleagues will always know whether you are in the office.
Attendances at a glance: Find out which contacts are on site and plan personal meetings or brainstorming sessions. If you have shared workstations, you can also see where your colleagues are located.

3. Adjust the skin tone of your emojis and reactions
Make your emojis and reactions in Microsoft Teams more personalized by adjusting your skin tone. To do so, follow these steps: Settings and more > Settings

4. Exclusive chat for organizers and speakers in webinars
In Microsoft Teams webinars and events, organizers, co-organizers, and speakers can now chat privately without participants having access to the chat. Use this feature to coordinate before, during, and after an event.

5. Protect confidential content in webinars – with Microsoft Teams Premium*
The latest update lets you add a watermark to your shared content, making it harder for people to take unwanted screenshots and effectively protecting sensitive information. This feature is available exclusively with Microsoft Teams Premium.
6. Embed Microsoft Teams webinars and events in SharePoint
Allow your employees to participate in webinars or events directly through SharePoint by embedding the meeting on a SharePoint page. People with access to the page can follow the webinar and actively participate in Q&A sessions and chat. This allows you to make your webinar available centrally, integrate relevant information, links or documents and offer subsequent content such as recordings in the same place.
7. New immersive environments in Microsoft Mesh – with Microsoft Teams Premium*
Microsoft Mesh brings fresh scenery! One of the new immersive environments you can try out is the "Project Studio". Microsoft Mesh offers a 3D experience in Teams meetings that makes virtual meetings more personal and interactive. You can get a quick glimpse of these new features in this Microsoft video.
In addition to the new sceneries, there are also numerous features that significantly improve meetings in Microsoft Mesh.
8. New features of Microsoft Mesh – with Microsoft Teams Premium*
With Teams Premium, mesh event attendees can now see raised hands and attendee reactions in events across all rooms. Organizers also have the ability to switch between different rooms to interact with different groups.
External guests can also be invited to Microsoft Mesh events to work more closely together in an immersive 3D space. Guests also need a Microsoft Teams Premium license for this.
With a Meta Quest 2, 3 or Pro VR headset, you can use your hands to navigate and interact with objects to make your meeting even more realistic. Motion controllers are still supported.

1. Your teams and channels at a glance
With the new view, you always have an overview of your teams and channels. You can easily create new teams, open existing ones, sort teams and channels, show and hide them, and make many other settings. In the menu item teams under additional channel options and your teams and channels

2. Chat details at a glance
With the current update, you have the opportunity to view the most important details of each chat without leaving the chat. Simply open the desired chat and select chat details to view information about chat participants, pinned messages, and shared files.
3. Never miss a meeting summary again
After scheduled meetings that have been recorded or transcribed, meeting summaries are available. You can access these directly in the chat after the meeting or at Summary With the latest update, you will also receive a notification in the activity feed when a new summary is available. The notification will take you directly to the summary.

4. Manage your waiting area in Microsoft Teams meetings
As the organizer of a meeting or webinar, you can set up a waiting area by admitting participants one at a time. This also allows participants to only join when they are ready. You now also have the option of defining additional people that participants can admit to the meeting. This allows you to concentrate on the presentation while someone else takes over managing the meeting. Find out how this works and what other settings are available for the waiting area here.
5. Avoid unnecessary emails to your webinar participants
There are different Types of Webinar Emailsthat inform participants about their approval status, event details, and reminders. These emails can now be deactivated centrally. To do so, go to Setup > Details, scroll down to the section event access and set the option Enable participant emails to Deactivate. After this setting, participants will no longer receive automatic emails. Please note that this option cannot be changed after the webinar has been published.
6. Improved Q&A functions: voting, archiving and filtering
In recent months, some improvements have been made to the Q&A functions and this update also brings new optimizations. What's new is that participants can now vote for good questions so that they receive more attention. As an organizer, you also have the option of archiving previous questions in recurring meetings so that only the most recent Q&As are shown in the feed. You can also filter the questions.
7. Microsoft Mesh: Design your avatar to match your appearance
The new wardrobe for avatars in Microsoft Teams Mesh was introduced in June 2024 and has now been expanded even further. This gives you even more options to customize your avatar to your appearance. Would you like to create an avatar? Here you can find a instructions from Microsoft.

1. Rename a team's general channel
You can now rename the "General" channel to give it a more descriptive name that better reflects its purpose. This is useful for the default "General" channel, as it is automatically created for each new team.
An appropriate name also helps the channel to be easier to find in the list of teams. Team owners and members with appropriate permissions can rename the general channel.

2. Recommended channels when you join a team
Now when you join a new team, you'll see channels recommended by the team owner. Easily organize and prioritize the channels that matter to you.
3. The “Files” tab in the chat is now called “Shared”
In Teams chats, the Files tab is now called Share. Select it to see content shared in this conversation. Browse through files, recordings, and web links sent to or from you in this chat.
4. Get an overview in Teams
When someone sends multiple images in a Teams chat or channel, they will appear next to each other in the same row. Use the arrow keys to navigate between images, or remove one by hovering over it and X choose.
5. Copilot now takes meeting chat into account in replies*
When you prompt Copilot in a meeting, responses are based on both the meeting transcript and the chat. For more information, see Using Copilot in Microsoft Teams Meetings.
Additional Copilot controls for Teams meetings*
Meeting organizers can now decide whether and for how long to allow Copilot in a meeting. When you schedule a Teams meeting, select options. > More options in the meeting details. Then go to recording and transcript and select an option from the drop-down menu Allow copilot .
View meeting summary in Microsoft Outlook*
After a meeting ends, you can now view a summary of the meeting in Outlook. The summary includes a link to the summary, transcript, recording, notes, shared files, and more. For more information, see Meeting Recap with Outlook.

6. Switching between two languages
Are you already using speech interpretation in Microsoft Teams meetings? – Then start communicating clearly and efficiently during multilingual meetings and conferences with speech interpretation in Microsoft Teams.
Language interpretation allows professional interpreters to translate what the speaker is saying into another language in real time, without disrupting the speaker's original flow of delivery. This simultaneous interpretation leads to more inclusive meetings where participants who speak different languages can collaborate without language barriers.

7. Virtual Reality: Explore new areas in Microsoft Mesh

8. Q&A improvements in meetings and events
- Speakers can now moderate Q&A and post questions during a meeting
- Participants can agree to newly displayed Q&A posts
- Keep Q&A sessions relevant by filtering and sorting questions by upvotes or keywords. Archive old posts in meeting series to keep the feed fresh.

9. Webinars now available in GCC-High
Microsoft Teams Webinars provides the tools to schedule webinar events, manage attendee registration, run an interactive presentation, and analyze attendee data for effective tracking.

1. Copilot can now read the time – with Copilot for M365*
Would you like Copilot to give you updates or summaries for a specific time period? With the September update, Copilot can now provide information for a desired time period. Try it out by asking, "What tasks did I receive in the last month?"

2. Join a channel by request
If you've received a link to a shared channel in your organization, you can send a request to join it. The channel owners can view your request and either accept or decline it.
3. Show your reaction in Microsoft Teams webinars & events
In Teams meetings, you have been able to express your reactions using emojis for some time now. Now this feature is also available for webinars and events. Click on the emoji symbol and select the appropriate emoji. Your reaction will appear at the bottom right of the screen.
4. Downloading Q&A's after Microsoft Teams webinars & events
After a webinar or Microsoft Teams event, organizers can download the Q&A questions asked as a CSV file. This helps to answer open questions afterwards and to identify possible conclusions for future webinars and events from the questions asked.

5. All information in one place
Hover over the channel name to see an overview of the channel information. You can directly view the channel description and member information. The channel card also offers a handy shortcut to notifications and channel settings.

To see suggested posts, enable the Discover feed in your channel list. To do so, go to Settings and more > Settings

7. See reactions from different mesh rooms – with Microsoft Teams Premium*
With Teams Premium, mesh event hosts can now see attendee hand raises and reactions in multi-room events across all of those rooms.

Apps are now also available in group chats with external users. Participants in a group chat can install, remove or update apps so that everyone (including external users) can use them.

1. Improved meeting gallery in Microsoft Teams Meetings
Microsoft Teams has updated the Meeting Gallery with some exciting new features that will enhance your meeting experience:
- Unified video tiles: All participants are now displayed in the gallery in tiles of the same size, regardless of whether their camera is activated or not. This ensures equal visibility for all participants.
- Optimizing visibility: The gallery dynamically adjusts to highlight active speakers and people with their hands raised, ensuring that key participants are always clearly visible.
- Enlarged video tiles for Microsoft Teams rooms: When a Microsoft Teams room joins a meeting, the video tiles for these rooms are automatically enlarged. This promotes better integration and visibility of the participants who are connected from such a room. A Microsoft Teams room is a meeting room that is equipped with intelligent meeting solutions and thus enables better collaboration.
- Customizable participant view: You have the ability to control the number of participants displayed on your screen, highlight favorite people, and hide yourself from the main gallery (visible only to you).
2. Emojis with a personal touch
You can now create and upload your own custom emojis to reply to messages or use in chat. To do so, follow these steps:
- In the message box, click the emoji, GIF, and sticker icon.
- Select “Emoji” and then “Your organization’s emoji.”

- Click “Add Emoji” and select the image or GIF you want to use as an emoji.
This allows you to make your messages even more personal and adapt them to your individual needs.
3. Customize notification sounds
From now on, you can customize the sounds for different notifications to better distinguish them. You can set individual sounds for different types of notifications - for example, a standard sound for general messages, special sounds for urgent messages, or turn off notifications completely when you're busy or in a meeting. This way, you can tell what type of notification it is just by the sound.
To adjust the settings, proceed as follows: Click Settings and More then click Settings
and on Notifications and activities. In this menu you can set the options mentioned.
4. Search now includes Microsoft Teams chats
In Microsoft Teams, chat messages are now included in the results when you search. If you want to search specifically for messages, press the Enter key and select "Messages" under the search bar. This will help you find the relevant chat content more quickly.
5. Customize channel notifications to your liking
In Microsoft Teams, you can now decide for yourself which channel notifications you see. Manage which notifications you receive and focus on the topics that are important to you.
To do this, simply hover your mouse over the desired post and click on “More options” . If you are already following the post, you can turn off notifications. If you are not following yet, you can turn on notification.
6. Better control over what participants see during webinars – with Microsoft Teams Premium*
As a webinar host, you now have the ability to precisely control what content attendees see. In the Manage section, you can turn speakers on or off as needed to ensure that attendees always see the most relevant presenters. You can manage up to seven presenters at once.

7. Change the order of presenters
For webinars and events, you can now change the order of presenters in the event details to optimize the presentation order. Open the event details in your Teams calendar and go to Setup > Presenter Bios. There you can drag and drop the presenter names into the order you want.

8. What’s new about Microsoft Mesh – with Microsoft Teams Premium*
Remember Mesh? Since its launch in January 2024, there have been exciting new developments. Microsoft Mesh offers an immersive 3D experience in Teams meetings that makes virtual meetings more personal and interactive. You can get a quick glimpse in this video from Microsoft.
The first two templates that already have screen sharing integrated are now available: "Meadow" and "Oasis". Both templates contain a screen share panel that allows you to see shared screens in the virtual space. This means you no longer have to create your own templates.
Additionally, you can revisit and share past Mesh events. Simply click on the link of the respective event to re-enter.
9. What’s new in Microsoft Mesh for all Teams licenses
There are also exciting updates to Mesh for Microsoft Teams standard licenses. Your avatars can now perform movements as reactions, making meetings more personal and realistic.
Additionally, avatars now have a personal zone that prevents others from walking through them or getting too close to them. This provides more comfort and safety, even in virtual spaces.

1. Efficient preparation and collaboration with collaborative notes in Microsoft Teams meetings
Collaborative notes allow all participants to prepare for the meeting, edit the agenda and notes, and take meeting notes and follow-up tasks during the meeting. The available Loop components make collaboration even more effective so that everyone can participate equally.
To access collaborative notes, navigate to Calendar in the left menu bar of Microsoft Teams and open the relevant meeting. At the end of the invitation there is a note icon
Here you can add the required information. These notes are opened automatically when a meeting begins. If this is not the case, you will find the notes icon at the top of the screen to open them.
2. Improved toolbar with optimized video display
When sharing your screen, you can now reposition the presenter toolbar using drag and drop. Additionally, there is a new option: SynchroniseWhen enabled, it improves the display of shared videos and makes the video content play more smoothly.
3. Get your message across correctly – with Copilot for M365*
With the Copilot for Microsoft 365 you can customize your text messages in Teams before sending them. Write your message, open the Copilot (on the right in the input box), select the option Adapt and enter your custom command (e.g. "Convert to a list" or "Write it more directly"). Copilot will give you up to ten suggestions from which you can choose the most appropriate one. For more details on customizing your messages with Copilot, see here.
4. Translations directly in Microsoft Teams
New in chats: intelligent message translation! When you receive a message in a foreign language, Microsoft Teams automatically suggests a translation in your default language.
You can also change the automatic translation settings by clicking More options click and then Translation choose.
5. Quick access using slash commands
Slash commands allow you to quickly perform actions such as opening a new chat window, starting a call, opening settings, or changing your status. Simply type the desired command in the search field. Microsoft offers you a Overview of the most common slash commands.
6. Quickly and easily start a short meeting in the team
Do you want to start a short meeting with your team right away? Now you no longer have to schedule extra meetings. Simply start an unplanned meeting directly in the group chat. To do so, click on the button «Discuss now». This new feature allows you to spontaneously start a conversation, regardless of where you are - just as if you were stopping by your colleagues' desks.
7. Secure a workplace despite desk sharing
Do you work hybrid and no longer have a fixed workplace? With the new Microsoft Teams feature, you can reserve shared workplaces in advance or connect on the day itself and block them for yourself for the rest of the working day. This way, you can see which workplaces are available in the company when you want to come into the office. Your IT administrators will set up these bookable workplaces for you. 8. For all programmers – co-editing code directly in Microsoft Teams
Loop components can now be supplemented with code blocks. This allows you to share your code with colleagues who want to review it and collaborate on it. This simplifies communication and increases productivity.
9. The input field in the new design
The design of the input field has been simplified so that sending messages is now easier and more intuitive. The input field provides quick access to the most used features such as text editing, emojis, loop components and, if available, Copilot. Advanced features are available under the plus symbol .
10. More control over your meetings – with Copilot for M365 and Microsoft Teams Premium*
With a Copilot for M365 license (or a Microsoft Teams Premium license from around September), you can precisely specify who has access to the meeting recording, transcript and AI-generated insights when organizing meetings. You can determine whether all participants, only organizers and co-organizers or specific people can access them.
11. The transcripts in focus
To improve transcription handling, Microsoft has implemented several new features in Teams:
Transcripts on OneDrive
From now on, all transcripts will be automatically saved to OneDrive for Business instead of Exchange Online as before. When you open the transcription in Microsoft Teams, you should also be able to see and open the OneDrive copy.
Deleting the transcripts
Deleting the transcription in the Microsoft Teams app will also delete both copies (in OneDrive for Business and Exchange Online). Deleting the transcription in Stream will only delete the copy in OneDrive for Business.
Permissions for transcripts
As the owner of a transcription, you can download or delete the transcript file, while participants can only view the transcription. However, you can grant permissions to download, view and edit the transcripts.

1. Get connected – Share contact information via Microsoft Teams Chat
You can now easily share someone's contact information in Microsoft Teams chat, even if that contact is not part of the conversation. To do so, open the desired Teams chat and type @ in the message input. A pop-up will then appear asking you to «Share a person's contact information » Enter the name, select the contact and confirm with OK. After sending the message, chat members can view the contact information.
2. New wardrobe for your Microsoft Teams avatar
Give your avatar's wardrobe a makeover with a professional look. New clothing and appearance options are available. To learn how to create and customize an avatar, see the Instructions from Microsoft.
You no longer know what an avatar is and what you can do with it? No problem! Here's a little recap:
An avatar is a virtual image of you that you can customize to either look like you or how you want to be. This avatar allows you to participate in meetings, making them more realistic and personal without having to enable video. Whether you disable video because of a poor internet connection or because you feel more comfortable, the avatar offers an effective alternative.
3. Copy links to files easily & quickly
Copying a file link is one of the most frequently used functions in Microsoft Teams document management. Therefore, Microsoft has reduced this process to a few steps. To copy a file path now, you only need a few clicks. In a chat or team, select the tab files .
You can then select the desired file. The option Copy link . Once you select it, the file link will be copied to your clipboard.
4. Catch up on meetings with all the details – with Microsoft Teams Premium or Copilot for M365*
Meetings have been able to be recorded and transcribed for some time now, and the option to view these recordings and summaries is also available to users of Microsoft Teams Basic & Standard. New for users of Microsoft Teams Premium is the ability to view further details in the chat after the meeting. You can see which participants spoke, who was mentioned, which documents were shared, and which notes were saved. The tasks recognized by Copilot are also displayed. This way, you know all the important information as if you were there at the meeting.

5. Meeting summaries available in additional languages
Smart meeting summarization now supports 15 additional languages: Arabic, Czech, Danish, Dutch, Finnish, Hebrew, Hungarian, Korean, Norwegian (Bokmal), Polish, Portuguese (Portugal), Russian, Swedish, Thai and Turkish. You can find out which languages are currently available here.
6. Capture and save collaborative notes from meetings
While sharing your screen in a Microsoft Teams meeting, you can annotate the screen. Depending on the settings, either all participants or only the presenter can do this. If you want to enable annotations, proceed as follows:
- Move your cursor to the top of the screen you want to share
- In the speaker symbol list, select Comment on made of
- All participants will see the Microsoft Whiteboard toolset at the top of the shared screen. Authorized participants can now add annotations
This feature already existed. What is new, however, is that in the Whiteboard toolset above you can Snapshot Click on the camera and the shared screen including the notes will be added to the Whiteboard app. Here you can view and edit the notes at any time.
7. Shorten meeting recordings
Recordings can now be trimmed directly in Microsoft Stream. This allows you to cut out unnecessary minutes at the beginning or end, for example when you had to wait for participants. You can also remove pauses or confidential information during the meeting. Find out how to do this in the following Instructions.
