In today’s world, an appraisal interview is essential for managers and employees. On the one hand, because of the aspect of optimally using and developing the human resources of a company. On the other hand, the employees should be more and more in the center. Because they are the gasoline of every company. Therefore, an appraisal interview should be held regularly, at least once a year, and possibly more frequently. In order for the discussion to pay off positively for everyone involved, it should be well prepared in terms of content. And also documented transparently afterwards.
For the development of the employees and the success of the company, the potential of employee appraisals only unfolds through good preparation. And also verifiable target agreements, which then serve as a basis for the coming year.

Online, in the form of video calls? – In fact, this was introduced or carried out in many companies. Due to the COVID19 situation, there was simply nothing else to do.
An inefficient process was often chosen:
1. Teams or Zoom meeting was arranged with the employee
2. Evaluation form was discussed online, adjusted if necessary and the meeting was terminated again
3. The supervisor then printed the form, signed it, scanned it and emailed it to the employee for review
4. After the review, the employee also printed out the form, signed it, scanned it. After emailed it back to his or her supervisor
5. Finally, the supervisor forwarded the form to the Human Resources (HR) departmen. They printed it and filed it in the analog paper file.
But… Is there really no simpler way to conduct this appraisal interview?

Of course there is! – Within a short period of time, our specialists also developed a workflow solution for the approval of the interview protocol based on our solution for the accounts payable workflow.
How we achieved this? – Our solution at redIT
The existing Word form for the annual employee appraisals was converted into an editable HTML form. A digital workflow was configured that forwards the completed form online. And finally saves it as a PDF with an inserted approval log in the digital repository.
Thanks to the workflow and the associated forwarding and approval of the form. It is logged that all parties involved have seen the document and also approved it. This makes the process much more efficient. As the same document no longer needs to be printed out and scanned in again. At the same time, HR can also check whether a conversation has taken place. And also where a form is in the process that has not yet arrived in HR after the conversation has taken place.
A small but all the more important note about online conversations. Our communication consists of 55% body language, 38% voice (tone of voice) and only 7% actual spoken words. Therefore, it is an absolute must that the camera is switched on on both sides during an employee interview. So that the extremely important, non-verbal signals in the communication are not completely omitted.
What does that look like? – Practical insights:
1. Workflow is created and subsequently the employee appraisal can be started
2. Form can be edited via browser, respectively the employee can be evaluated in the individual points
3. When the interview is finished, the document is approved by the supervisor, employee and HR
4. The approval is automatically logged in the resulting PDF
