Take advantage of cloud printing
The world of printing has evolved significantly in recent years due to digitalization. The way we print and what we print has partially changed. Digital transformation does not replace printing solutions, but goes hand in hand with them and enables optimized use of printing environments. As digitalization increases, the importance of modern working environments that require flexibility and mobility also grows. Cloud printing offers the perfect solution here, as it enables location-independent and flexible printing. Companies can use it to optimize their printing processes, reduce costs and at the same time achieve greater efficiency - regardless of physical presence in the office.
A short digression – Is printing still necessary these days?
Printing remains relevant despite today's digital progress. Even though digital transformation is an important step for all companies, most are still a long way from a paperless office. But that's not a bad thing at all, because printing is still necessary today! Find out why you should still print today in our blog post on this.
What is cloud printing?
Cloud printing moves the entire printing process to the cloud, automatically forwarding print jobs to a printer. Unlike traditional printing, where the printer is connected directly to the device locally via a network or a cable connection (such as USB), cloud printing takes place via the cloud. This allows access to the printing services regardless of a specific device or location. This means you can send print jobs from any device without having to be on your company's local network.
In addition, with Cloud Print you no longer need to set up each specific printer at your workplace. The central connection via the cloud gives you access to all printers integrated into your platform.
How does cloud printing work?
Cloud Print replaces the local driver and the direct connection to a printer with a system in the cloud. All print jobs are sent to the cloud via the application. From there, the system directly controls the desired printer and transfers the job.
The connected printers are also managed in the cloud. Here you set up the printers you want to use once. These are then available to all employees. Of course, it is possible to create structures with group guidelines and rules.
Local printer (USB)
Client 1 is connected to Printer 1 via a USB cable and has the required driver installed, allowing printing from Client 1. Since Client 2 is not connected to Printer 1 via a USB cable, it does not have direct access to the printer.
Network printer
The printers are connected via the network, so that all computers on the network can theoretically access them. However, in order for the computers to actually be able to print, the respective drivers for the printers must be installed and set up on the individual devices.
Client 1 has only set up printer 1 and can therefore only print to it. Client 2 has both printers installed and can therefore access both. Client 3 has not set up either printer and therefore cannot print.
cloud printing
The printers are added in the cloud so that all devices, including mobile devices, can access the cloud system. There is no need to set up the printers separately on each device as they are managed centrally via the cloud.
Cloud Printing at redIT
Cloud printing can be set up in just a few steps. First, your printers are connected to a cloud printing service and integrated into the cloud. We then register your printers in the system so that they are available to your employees. Together with you, we create an authorization concept that determines which users are allowed to access the printers and the printing rights are set up centrally. Finally, we set up HP SecurePrint on your employees' devices. You can now print easily and from any location via the cloud. In addition to cloud printing, HP Secure Print offers you numerous advantages and functions in the area of secure printing. Find out more about Secure Print.
Once the cloud printing setup is complete and your employees can print easily via the cloud, another important aspect comes into focus: the security of your printing processes. Sensitive or personal data is often transferred during printing, which is why protecting this information is a top priority. Compliance with legal data protection regulations also plays a key role.
We offer you a cloud printing solution where data is transmitted in encrypted form. Our systems are based on technology from the printing expert HP. The data is encrypted directly on the system that sends the print job. This means that it is not possible to intercept the content or read it in any other way. Thanks to this feature, our cloud printing solution also meets all current data protection requirements.
Why choose cloud printing?
A key advantage of cloud printing is the high cost. Since fewer physical printers are required, the number of printers in the company can be significantly reduced, which also reduces the need for IT support. This significantly reduces the costs of maintaining and managing the printing infrastructure. In addition, manual setup and driver installation on each device is no longer necessary. This further minimizes IT effort. Overall, cloud printing therefore helps to reduce your printing costs in the long term.
As already mentioned, Cloud Printing offers easy access to the printing service for all devices. This represents a great added value, especially for mobile devices such as smartphones or tablets. Normally, printing via mobile devices is laborious, but with a cloud solution, all kinds of documents can be printed easily from the smartphone. Cloud printing therefore fits perfectly with the concept of digital workplace and enables flexible working regardless of location and device.
Cloud printing also offers significant advantages for your IT department. Printer problems are among the most common IT support requests, and the manual setup and maintenance of printers at each individual workstation also takes up a lot of your IT staff's time. Cloud printing centralizes print management so that your IT staff can control and monitor all printers via the cloud. A new printer only needs to be configured centrally in the cloud once, which significantly reduces the setup effort. This reduces the cost of maintenance and support and minimizes the susceptibility to errorsby reducing local printing problems. IT can therefore focus on more strategic tasks while the printing infrastructure runs efficiently and smoothly.
These are the five key benefits of cloud printing:
- All devices have access to the printers
- Access the printing service from anywhere with internet
- Reduced hardware costs through fewer printers
- Simplified administration for IT
- No problems with printer drivers and software
